Terms and Conditions of Use of the Umeå University Alumni Network

For whom?
Umeå University Alumni network is a network for former students at Umeå University, so-called alumni. The objective is to develop the contacts between the staff and students of Umeå University and the University’s alumni. The Alumni network is intended for you who study or have studied at Umeå University. Data you enter into the Alumni network will be treated confidentially and with respect.

We need to know more about you
What we need is information about you, your work, your time at Umeå University, and about what kind of contacts you would like to have with us in the future. Fill in the details under the four tabs below. Your data will be securely held in the Alumni network, which is our access protected database, available only to Umeå University staff or to alumni who have registered either at this web site or filled in a form and posted to us.

Develop contacts based on your interests
The data you enter will be used to develop our alumni activities and the contacts between you and Umeå University. By filling in the last part where you indicate what kind of contacts you would like to have with us in the future, you will enable us to develop and tailor-make our services to you in accordance with your preferences.

Data Protection
In accordance with the Swedish Personal Data Act we would like to inform you how your personal data is treated by Umeå University. The intention behind the Personal Data Act is to protect people and ensure that people’s integrity is not violated when their data is processed. An important part of this integrity protection is that people whose data is processed are informed about how their data is treated or used. By registering your personal data in the Umeå University Alumni network you accept that Umeå University processes this data.

The data we have on you today
The personal data of every graduate is automatically transferred to and registered in our alumni database, the UmU Alumni network. This data includes name, home address, education, degree, and year of degree. The data on you dates from your study period at Umeå University and this data has been collected in the University’s student database, the LADOK. If you live in Sweden the home address at which you are registered in the population register is updated every spring and autumn with data from the Swedish SPAR (coordinated personal and address file) in connection with our sending of the Aktum Extra magazine.

Decide what data we are to have on you
Our point of departure is that data such as name, education, degree, and study period can be seen by everybody. However, you yourself can decide what data you want other alumni to find on you in our database. Since the University is a public works we are, in some cases, required to supply information that we have. You have the right, at any time, to access all the information registered on you.

Civic registration number
Since we have tens of thousands of alumni we need your civic registration number to ensure secure identification when we check that you are a former Umeå University student. If you live in Sweden this is also needed since the home address at which you are registered in the population register is automatically updated with data from the Swedish SPAR (coordinated personal and address file). Your civic registration number will not be accessible to other alumni; it will be hidden. We reserve the right to prevent people who would like to use our database for recruitment or advertising purposes, or purposes incompatible with a generally accepted code of network ethics, from accessing the database.

Reservation
To make sure that the UmU Alumni network becomes a pleasant and attractive service all users are required to adopt a generally accepted code of network ethics. We reserve the right to terminate your subscription to this alumni service if you do not follow our guidelines and regulations or if you abuse this web site in any other way. It is not allowed to use the UmU Alumni network for recruitment purposes nor for advertising or marketing. We also reserve the right to remove anything that could be considered offensive or discriminating. UmU staff working to develop the contacts with our alumni has the right to make notes based on the contacts Umeå University has with you. Finally, we reserve the right to make summaries for statistical purposes of the information you give us. This information will be encrypted and impossible to relate to a certain person.
