Arranging parties at UID

Alcohol consumption is generally prohibited on Umeå University premises, including UID, at all times for both students and staff. For events involving alcohol at UID, specific rules apply, and a special permit must be sent to the Head of Security at Umeå University. Otherwise, security guards will confiscate any alcohol and report the incident to UID leadership and the Head of Security.


Guidelines for arranging parties at UID

Ställverket can arrange student parties for UID students with permission from the Head of Department, requested at least 1 month in advance. The request must follow UID and Umeå University policies. Ställverket covers any additional costs for UID.

  1. Planning: Ställverket handles all planning and informs students about party rules, safety, cleaning, and recycling.
  2. Floor plan: Provide a detailed floor plan, including entrances, exits, and emergency routes, approved by the house technician.
  3. Approval: Present the floor plan and participant numbers to the Head of Department for approval.
  4. Formal request: Submit the “Avtal för arrangemang kväll eller helg i en institutions lokal (pdf)” form to the Head of Department. After approval, email the form to Infocenter, copying the House Technician and Head of Department.
  5. Coordination: Contact the house technician at least 2 weeks before the party to confirm door locking/unlocking times.
  6. Security: Ensure main entrances and student studio doors are locked during the party. Lock the stairway door from the student kitchen to the UID entry level.
  7. Responsibility: Uphold order and safety, and provide a main contact for UmU Security. The contact person must not be under the influence of alcohol.
  8. Cleanup: Clean and restore the venue, including recycling and returning furniture.
  9. Extra cleaning: Order and cover the costs of extra cleaning by Umeå University staff.
  10. Additional costs: Ställverket covers any additional costs for UID, such as security checks or extra cleaning.
  11. Notification: Inform staff and students about the party, lockdown, and rules at least 1 week before the event.
