Before you leave for your Erasmus traineeship

When you have found a traineeship host and submitted your application regarding Erasmus grant, start with your preparations well in advance. Some things may take some time getting organised. Below you will find a checklist of things you need to have sorted before packing your bags.

Apply for Erasmus grant

If you are going as an Erasmus+ trainee, you can apply for a grant from the programme to cover additional expenses during your study period. Information on how to apply for a grant can be found on this website:

Financing and scholarship.

Apply for financial aid for studies

You can apply for student finance from CSN if you are going to do an internship abroad if the internship takes place as part of a course in your education. This does not apply to internships that take place outside of course activities. You may have the opportunity to borrow money for extra costs such as travel and insurance.

Find somewhere to live

Some host organisations have contacts with housing agencies, or may have tips on where to turn. The help you can get depends on the host organisation. When looking for accommodation, check out agency sites and more to avoid being scammed.

On the Tenants' Association's website (Hyresgästföreningen), there are tips on how you can avoid being scammed when you are looking for housing. Many of the tips can also be applied when you are looking for housing abroad.

Review your insurance

If you go as a trainee via an exchange programme (i.e. Erasmus+), you are insured through the Legal, Financial and Administrative Services Agency's insurance called Student UT. It includes personal injury cover and travel insurance cover. You are responsible for deciding whether Student UT is sufficient or whether you need to take out your own insurance.

Student UT 

Keep in mind that the insurance only applies in the country where you are going to do the traineeship. For example, if you plan to make trips to other countries during the traineeshipperiod, Student UT does not apply there.

 

Safety

Minimise the risk of something unforeseen happening by taking heed of the information relevant to the country and/or city to which you are travelling. The actions below can increase your security and safety whilst going on an exchange.

Before departure

  1. Download a checklist to increase your safety before and during your trip. 
  2. Download the app 'UD Resklar' on your mobile phone and take part in the information available about the country you are visiting. Alternatively, take part of the information about the country on the Ministry for Foreign Affairs' website. Follow the Ministry for Foreign Affairs' recommendations.
  3. Register on the Swedish list (if you are a Swedish citizen). Here you can provide information about where you are and how you can be contacted during your stay abroad. If necessary, the information can be used by the Ministry for Foreign Affairs or the embassy to contact you in the event of a consular crisis. It is stored for the period of time you specify, but a maximum of one year. 
  4. Always bring your passport and any visa. Many countries require that your passport must be valid for at least 6 months from the date of entry.
  5. Take a copy of your passport and save it digitally in a safe accessible place. 
  6. Find out if special vaccinations are required for the destination. Take your vaccination card with you on your trip.
  7. If you travel within the EU, always bring the European Health Insurance Card with you. (Ordered by the Swedish Social Insurance Agency). The card entitles you to emergency medical care according to the same rules as the country's citizens. 
  8. Save contact details and important telephone numbers in other ways, not just on your mobile phone.
  9. Inform your department, International Office and host organisation about your trip and your ICE contacts (In Case Of Emergency). Inform your family members of your travel plans.
  10. Take part of important safety information from the host organisation you are going to visit/do an internship at.
  11. Write down your credit card number. Keep the information in a place other than your wallet. Make sure you have the phone number to block your credit card available in different places.

Under resan

  • Check in with your relatives regularly.
  • Stay informed about local events/changes that may affect your safety/travel plans, e.g. via local media and the Ministry for Foreign Affairs/the embassy.
  • If any serious incident occurs near where you are (e.g. terrorist crimes, natural disasters), contact your relatives and your department or International Office.
  • Find out important safety information from the university you are visiting/studying at. This may include security on campus, any security numbers, security contacts, etc. Also find out if there are areas that are less safe/safe to visit. Avoid these.

If something happens

Contact relatives, your department and the International Office as soon as possible if a war or other crisis situation arises. Use regular contact channels.

In major crisis situations and if regular contact channels do not work, call the University's internal emergency number +46-90-7869700. Calls are answered around the clock and contact can be established with the University's crisis group.

In the event of an outbreak of war, natural disasters, major accidents or a crisis situation in the place you are, contact the Swedish embassy or consulate in the country. Follow the Ministry for Foreign Affairs' recommendations/requests.
