FAQ – new student

Admission and deferment of admission

Where can I find information regarding my admission for studies?

The official letter of acceptance is the Notification of Selection Results that you can download from your account at universityadmissions.se.

Why does my Notification of Selection Results say "Conditionally Admitted"? 

You are conditionally admitted upon the condition that you pay your tuition fee.

Please note that your Notification of Selection Results will always state that you are conditionally admitted, even after you have paid your tuition fee. This is due to the fact that the systems are not connected.

I wish to decline my admission. What do I need to do?

To decline your admission, please log into universityadmissions.se and decline your offer. This will allow for students currently on the reserve list to be admitted.   

We welcome you to apply to Umeå University again in the future and wish you all the best.

I applied in the second admissions round. When will I receive my invoice?

If you are admitted to studies during the second admissions round (otherwise known as the national round), you will not automatically be sent an invoice. We strongly advice against applying in the second admissions round, as it will not allow you enough time to receive a residence permit.

If you are admitted during this round, you will instead be sent an email explaining the problems with applying in this way. If you truly wish, you may request that we send you an invoice despite knowing the risks, which we will oblige to do.

I wish to defer my studies. What do I need to do?

If you have paid your tuition fees, you may send a request to defer your studies. This is only possible if you have paid the first instalment. If you have not paid the first instalment of your tuition fees, you will not be able to request a deferment. There are specific circumstances in which a deferment can be granted. Not receiving a residence permit in time to begin your studies is not a valid reason to be granted a deferment.

You will have to apply for the course or programme again if you would like to take it another year. The FAQ for new students provides more information regarding deferment, under the headline "How do I apply for deferment of studies?".

Tuition fees

When will I receive my invoice?

In order to receive a tuition fee invoice, you must first be admitted to studies for the upcoming semester. Once you have been admitted to studies, you will usually receive your tuition fee invoice via email within ten working days after the final Notification of Selection Results has been published.

If you have not received your invoice within ten days of your final admission, please contact tuitionfees@umu.se.
   
Check your spam folder, sometimes the invoice ends up there.

Please also be aware that if you have changed your email address through your University Admissions account, you also need to send an email to tuitionfees@umu.se about the change of your email address. The two systems are not connected and we need to update your email address manually in our system.

If you, during your studies, wish to change the email address you use for contact with and invoices from Umeå University, you must:

  1. Update your email address through your account on the University Admissions website.
  2. Send an email to tuitionfees@umu.se with a request to change your email address.

How do I pay my invoice?

We do not send students an invoice via mail. In order to see and pay your invoice, you will need to log into your student pages through Ladok. Once logged in, you will be able to see your current invoice, as well as future invoices. Once the invoice is issued, a notification is sent to the email address registered on your University Admissions account with a link to the student pages in Ladok.

Please note that in the case of a refund, the money can only be refunded to the same account that the payment was made from.

Can someone else pay my invoice on my behalf?

Yes, the payment can be made by someone else. They would then need to include your payment reference number when making the transfer. The reference is stated on the invoice. This is the most important information to be included when making the transfer. Without this, we will not be able to match your payment to the invoice.

Please note, however, that in the case of a refund, the money can only be refunded to the same account as the payment was made from. You should therefore only pay through someone that you trust.

Can the payment be made in another currency?

Yes, your payment can be made in other currencies, as long as the payment that reaches Umeå University in SEK matches the total amount on the invoice.

We do not issue invoices in currencies other than SEK. If you have any questions regarding currency conversion, please contact your bank.

What does the tuition fee cover?

The tuition fee covers your studies on the course or programme, during the time for which you have paid.

The tuition fee is calculated to cover costs related to lectures, lab work, study infrastructure (computer labs, library privileges) and other study-related expenses that Umeå University incurs.

As a service to tuition fee paying students, Umeå University offers accommodation assistance via the Umeå University Accommodation Service.

You are also covered by the student insurance FAS+ for the duration of your studies. 

Umeå University also provides one Swedish language class, at beginner's level, free of charge to all tuition fee paying students from the second semester onwards. Invitations to apply are sent out via email ahead of the upcoming semester to students that fulfill the criteria. 

When do I need to pay my tuition fee? What happens if I cannot pay on time?

Invoices are sent out via email, along with payment instructions and the rules for tuition fees.

If you are a new student and have not paid your tuition fee before the due date stated on the invoice, you will lose your place on the programme or course that you have been invoiced for.

If you are a current student and have not paid your invoice before the due date, a process to suspend you from studies will be initiated. A decision of suspension means that you will not be able to participate in classes, exams and other activities that fall within the realm of education at Umeå University.

Can I pay the invoice in instalments?

You can pay the invoice in instalments and from different sources, but the total fee specified on the invoice needs to have reached the University's bank account before the due date. We do, however, prefer if the payment is done in one transaction.

It is very important that the payment reference specified on the invoice is noted on the transaction when making the payment. This helps us locate and match the transaction received with the invoice. If the payment reference is missing, there may be delays in processing your payment. If several payments are made towards the same invoice, the payment reference must be noted on the transaction for each transfer.

Can I extend my payment deadline?

The tuition fee needs to be paid before the due date stated on the invoice. This means that the payment covering the full amount on the invoice needs to have reached Umeå University´s bank account before the due date stated on the invoice. No exceptions can be made. If you are a new student and have not paid your tuition fee on time, you will lose your place on the programme or course that you have been invoiced for. 

I have paid my invoice. Why have I not received a confirmation email?

Payments take ten working days to process to account for bank processing times and administrative time needed to handle the payment. Once the invoice has been logged in our systems, you will receive a confirmation email from Ladok notifying you of this change. The Swedish Migration Agency does not require a confirmation email to check the status of your fees, they can see the status on your page in Ladok.

If your status has not changed in Ladok after ten working days of making the payment, please contact us at tuitionfees@umu.se. When you contact us, please attach a swift copy of your payment.

I believe that I am exempt from tuition fees. What should I do? 

If you have reason to believe that you may be exempt from paying tuition fees, you are recommended to do the following:

  1. Review the information on the University Admissions website to check whether you fulfill the requirements for an exemption.
    Find out if you need to pay fees (universityadmissions.se)
  2. Upload supporting documents to universityadmissions.se. Which documents to upload will depend on your situation. If you have citizenship in an EU or EEA country, or Switzerland, you will need to upload a copy of your passport. If you have been granted temporary Swedish residency for reasons other than studies, you will need to upload a copy (all pages) of your decision from the Swedish Migration Agency.
  3. Once you have uploaded your documents, send an email to tuitionfees@umu.se. The tuition fees team will then review your documents and get back to you.

FAQ – current student

Invoice

When will I receive my invoice?

As a current student studying on a programme, you will be invoiced ahead of the upcoming semester. The invoice will cover 30 credits, regardless of the number of credits you have been conditionally admitted to or plan to register on. Invoices are issued 30 days before the start of the semester at the latest. Freestanding courses will be invoiced separately after admission.   

Check your spam folder, sometimes the invoice ends up there.

Please also be aware that if you have changed your email address on your University Admissions account, you also need to send an email to tuitionfees@umu.se about the change of your email address. The two systems are not connected and we need to update your email address manually in our system.

How do I pay my invoice?

FAQ – refunds

How do I apply for a refund of paid tuition fees?

If you wish to apply for a refund, you must contact Umeå University. Your application must be submitted in English and state the reason for the refund. Your supporting documentation must also be provided in English, and preferably be submitted before the start of the semester.

When will I get a decision on my refund application?

Due to the heavy workload at the start of each semester, we do not start the processing of refund requests until about a month into the semester. After this, our aim is for you to have received a decision on your request for a refund by mid-November for the autumn semester and mid-April for the spring semester.

If you have not had an update on your application by 15 November (autumn) and 15 April (spring) please contact the tuition fees team. All documentation and emails sent to tuitionfees@umu.se will be taken into consideration before a decision on the application is made. If further information is required, the tuition fees team will contact you.

When will I receive my refund?

We cannot estimate the time it will take to receive a refund, but please note that the process can take some months.

Due to the heavy workload at the start of each semester, we do not start the processing of refund requests until about a month into the semester. After this, our aim is for you to have received a decision on your request for a refund by mid-November for the autumn semester and mid-April for the spring semester. Once you have received an email confirming that your refund will be processed, we will request that our bank starts the refund process. If your bank uses intermediary banks, please note that this can delay the process.

I paid for a course and was not able to finish my studies. Can I take the course again next semester without paying extra?

Yes, you may re-register for the course, if it is offered, without paying any extra tuition. Please contact the department of your studies for more information.
