Once you have been notified of funding

Congratulations on your EU grant! The following is an overview of what you are responsible for and what support is available along the way.


Get started with your project in the right way

Remember to immediately notify the head of department and the financial administrator at your department when you have been awarded funding. This will allow you to work with them to review the requirements for your specific project. 

As soon as possible after being informed of your grant, the Research Support and Collaboration Office will invite you to an initial meeting. The meeting is intended to facilitate starting the project by providing information on such aspects as budget, schedule, reporting, rules to follow and who is responsible for what.

Receive support for ongoing administration

During the course of the project, you can contact the Research Support and Collaboration Office for assistance in matters related to ongoing administration. They are also responsible for reviewing all financial statements before being submitted to the European Commission.

Suggestion: Document from the very beginning

It is good to start saving and transparently managing the project’s documentation as soon as you have received notification of funding. This will facilitate both regular reporting and when it is time for an audit.

Five important steps once you have received notice of an awarded grant

1. Submit the head of department’s certificate

You need to submit a signed head of department’s certificate to the Research Support and Collaboration Office at rso@umu.se, if you have not already done so during the application process.

2. Add the relevant individuals to the Funding & Tenders portal

Add the individuals who will have the Project Legal Signatory (PLSign) and Project Financial Signatory (PFSign) roles, as described in the instructions in the document “Guide on how to add Project Legal Signatory and Project Financial Signatory”.

Once the roles are added, the PLSign can sign legally binding documents, such as the Declaration of Honour.

3. Sign the Grant Agreement (GA)

The University must sign a grant agreement that describes the project’s activities, duration, budget, contribution from the EU budget, and all rights and obligations. This needs to be approved by the University’s Legal Affairs Office.

  • If Umeå University is the coordinator, the PLSign signs a grant agreement.
  • If the University is a beneficiary, the PLSign signs an accession form.

4. Sign a Supplementary Agreement (SA)

Projects receiving funding from the European Research Council (ERC) require a supplementary agreement drawn up by the University’s Legal Affairs Office. The person with the PLSign role signs this agreement.

5. Draw up and sign a Consortium Agreement (CA)

For collaboration projects, a consortium agreement needs to be drawn up between the parties in the project. The University’s Legal Affairs Office needs to review this agreement, which is then signed by the person with the PLSign role.
