State your affiliation correctly

Writing your affiliation correctly is important in terms of your publications being linked to Umeå University in bibliometric analyses and evaluations. You must also do this to access one of the agreements that the University has with various publishers.


Write out the full name of the University

When stating your affiliation in the publication process, it is important that you write it correctly so that the publication can be picked up in annual reports or similar analyses. The exact wording may vary depending on the practices of the scholarly field or the journal’s requirements. However, it is important that both Umeå University and the lowest level in the organisational structure can be clearly identified. You can find more information on the naming formats of units in the Rules.

If you are employed by Umeå University, you must write out the full name of the University, not just the abbreviation. You should also specify the department, city and country. 

Examples of how to write the affiliation

Use the example below, depending on the language you are writing in. If you are employed by a centre or school, specify this instead of the department.

Swedish example: 
Institutionens namn, Enhet, Umeå universitet, Umeå, Sverige

English example:
Name of department, Unit, Umeå University, Umeå, Sweden

If you have multiple affiliations at Umeå University

If you are affiliated with more than one department, centre, unit or equivalent at the University, you should write out each affiliation in full (as in the example below). Do not mix multiple organisations in the same affiliation string.

Swedish example in which the author is affiliated with two different departments:

  1. Institution X:s namn, Enhet, Umeå universitet, Umeå, Sverige
  2. Institution Y:s namn, Enhet, Umeå universitet, Umeå, Sverige

English example in which the author is affiliated with two different departments:

  1. Name of department X, Unit, Umeå University, Umeå, Sweden
  2. Name of department Y, Unit, Umeå University, Umeå, Sweden

If you are employed by Region Västerbotten

If you are also employed by Region Västerbotten and want to include your affiliation with the University Hospital of Umeå, you will need to state both of your positions. It is not enough to simply state “Umeå University Hospital” or “NUS” as your affiliation, because then your publication will not be picked up in various analyses. Please note that if you are only employed by Region Västerbotten, you should not specify Umeå University as an affiliation.

Swedish example in which the author is affiliated with two different organisations:

  1. Institutionens namn, Enhet, Umeå universitet, Umeå, Sverige
  2. Enhetens eller klinikens namn, Norrlands universitetssjukhus, Umeå, Sverige

English example in which the author is affiliated with two different organisations:

  1. Name of department, Unit, Umeå University, Umeå, Sweden
  2. Name of unit or clinic, University Hospital of Umeå, Umeå, Sweden

Why you must state your affiliation clearly

It is important that you state your affiliation(s) clearly and correctly for several reasons:

  • Your publications will be linked to Umeå University in various databases, such as Scopus and Web of Science.
  • Only publications that have a correct affiliation to Umeå University are included in bibliometric analyses, such as annual reports.
  • It will be easier to include the publications when importing and reviewing in DiVA.
  • You must specify your affiliation correctly in order to access the University’s publishing agreements with various publishers.
