Next steps

Now that you have applied for courses at Umeå University, you are likely wondering what’s next. On this page, we have gathered information regarding the steps following your application, admission, and documents that might be required before you start your studies.


After your application

This information is relevant to the stage between application and admission, during the following periods:

Autumn semester studies: Mid-April – Mid-May  
Spring semester studies: Mid-October – Mid-November 

Change your course selection

It is not possible to make changes to your course selection until the Notification of Selection Results (Admissions Letter) has been released. See instructions below, under "After admission" for more information.  

Do not apply for courses directly on University Admissions. Any applications done directly on University Admissions will be deemed invalid and deleted.

Assessment of your application 

You will be contacted if you do not meet the requirements, or if any documentation is missing from your application. It is important that you regularly check the email address you have given on University Admissions for any possible updates. 

Follow your application status

You can follow the status of your application on your account on the the University Admissions webpage. 

"Unqualified" label on University Admissions 

If the label "Unqualified" appears on your course selections on University Admissions prior to the Notification of Selection Results being released, and you have not been contacted by the International Admissions Office, this likely means that your application has not yet been processed.  

If you are deemed unqualified for a course, you will be contacted.  

Housing recommendation 

We recommend that, during this phase, students sign up for different housing providers for students in Umeå. In Umeå, accommodation is offered on a queuing basis, where the longer you have been registered in a system, the more likely you are to receive accommodation. Post-admission, you can also sign up for the University’s Accommodation Service. See information below, under "After admission". 

Please note! You will not be able to receive student accommodation until you have been admitted to studies.

Notification of Selection Results 

Your Notification of Selection Results will be published on University Admissions. This is your official admissions letter. They are published in Mid-May for the autumn semester, and mid-November for the spring semester.  

As an exchange student, you do not need to confirm your offer to keep your place on the course.  

For students who require a residence permit, the Notification of Selection Results functions as your official admissions letter and proof of insurance.  

Glossary 

  • "Unqualified" – You do not meet the entry requirements to the course. If you believe this to be a mistake, contact the International Office.
  • "Reserve" – You are on the waiting list to a course, and will be contacted if a place becomes available. Contact the teacher of the course to discuss the likelihood of you receiving a place. Contact the International Office if you would like to request a course change.  
  • "Conditionally admitted" – You must pass the courses you are currently enrolled on at your home university before the course at Umeå University starts. As soon as you have finished the courses, please upload a new transcript and contact the International Office for further review.

Change your course selection 

Course changes after the application deadline are restricted and not guaranteed. Valid reasons to request a course change are: 

  • schedule conflicts; or
  • if it is a requirement from your home university.

If you require a course change for the autumn semester, please reach out to incoming.io@umu.se by 30 May. Any requests for course changes received after this date will be processed in August, after the summer break. 

Residence permit (non-EU/EEA/Swiss nationals) 

If you do not hold an EU passport, you need to apply for a residence permit for studies in higher education. In order to apply for a residence permit, you need to have met the following criteria:

  • be admitted to 30 credits of studies; and  
  • the studies must be on-campus, i.e. no distance courses.

You will need to supply an admission decision from Umeå University. This is your Notification of Selection Results, which can be downloaded from your profile on University Admissions.

Any questions regarding residence permits should be directed to the Swedish Migration Agency.

You will also need to supply a copy of a comprehensive health insurance policy. Upload your Notification of Selection Results as proof of this. As an exchange student, you are automatically covered by our health insurance

Sign up for the University Accommodation Service 

On your Notification of Selection Results, you will find a link to the University’s housing web portal system. Sign up for the portal immediately, to increase your chances of receiving accommodation. The link can be found on the last page of the document.  

Once you have created an account, you can start to apply for housing through the Umeå University Accommodation Service. You receive one point for each day in the queuing system (1 day = 1 point), so registering as quick as possible will increase your chances of getting accommodation in the area you prefer. 

Should there be many applicants, students registered for at least 15 ECTS per semester are prioritised.

Common documents

Following admission, we understand that there might be many documents to sign and to send to various people. Here is a breakdown of the common documents, and where to send them for signature. Some documents are only required for Erasmus students. If you are unsure if these documents are required, contact your home university. 

Learning Agreements 

Learning Agreements are signed by the International Office. Please either submit them as an Online Learning Agreement (via your university’s portal), or email an editable PDF to incoming.io@umu.se.  

Learning Agreements can only be signed once you have been admitted to studies, i.e. following the release of the Notification of Selection Results. Any Learning Agreements sent before this date will be rejected.  

Contact the coordinator at your home university to know the name of the contact person at Umeå University. Otherwise, you may write the name of your International contact person. 

All courses included in the Learning Agreement must be courses that you have been admitted to, as stated on your Notification of Selection Results. The Learning Agreement cannot be signed if it contains courses that you have not been admitted to. This includes reserve courses, it is not possible to sign a Learning Agreement containing reserve courses.  

The correct course codes, names, semesters, and credits must be included in the Learning Agreement. This information can be found on your Notification of Selection Results. 

The start and end date of the exchange must be within the dates of the academic semesters at Umeå University.

Confirmation of Arrival 

The Confirmation of Arrival is signed by Infocenter. Visit Infocenter during their opening hours to have them sign the document.

The earliest date that you may provide as the start date for your exchange is the date of Orientation.
