Thank you for being one of Umeå University's hosts for an honorary doctor during the Annual Celebration!
To consider as a host
It is an important task to ensure that our honorary doctors feel welcome and secure during their stay here in Umeå so that the experience is as dignified and pleasant as it should be.
As the host of an honorary doctor, you are expected to help your guest and ensure that all practicalities are taken care of. Please think through what might arise so that you can explain and resolve any situations before the questions arise. Preparation is essential to be at hand and solve any questions that might arise.
Basic guidelines
The type of help the honorary doctor needs is of course individual, but here are some basic guidelines:
Mandatory and optional events related to the Annual Celebration
You can see the programme for the Annual Celebration below. The honorary doctor choose what they want to attend, except for the following which are mandatory (if they participate in the Annual Celebration):
- rehearsal
- lecture
- procession reception
- ceremony.
In addition, it is optional to participate in the luncheon, banquet and Vice-Chancellor's reception, but registration is required.
Note that it is your responsibility as the host that the honorary doctor is in place in good time for the mandatory events in the programme.
Your and your guest's participation
You will receive the invitation for the ceremony and banquet at the end of August, provided that your honorary doctor will come to Umeå, and you are invited with one guest. We would prefer that you attend everything that the honorary doctorate participates in, exept for the rehearsal and the procession reception. Note, however, that each dean decides who is invited to the faculty luncheon and that invitation is sent in September.
It is optional for your partner to participate in the various events and you choose yourself whether you want to invite a colleague to the banquet or Vice-Chancellor's reception instead. Please note, however, that any cancellations after registration must be reported to arshogtid@umu.se.
Lectures and your intruduction of the honorary doctors
All honorary doctors, professors and scientific award winners each give their own lecture. Award recipients who share an award, however, hold their lecture together.
The lecture of 20 minutes for honorary doctorates and 15 minutes for award recipients should be aimed at the general public and deal with the person's research, work or a similar topic.
After their lectures, award recipients are presented with their diploma.
Before you give your presentation, the host (a representative from the faculty) welcomes the audience and hands over to you.
Insignia
The honorary doctor receives a doctor's hat (faculty of Medicine) or laurel wreath (other faculties), a gold ring and a diploma.
We ask the honorary doctors to send us their ring size in advance but if any of them are in Umeå before 5 September, they can try out the ring size at Umeå Ur & Guld.
Laurel wreaths, rings and hats are available to try on at the rehearsal on Friday, 18 February at 13:30 in Aula Nordica.
Rings can be adjusted at Umeå Ur & Guld, Kungsgatan 50, on Friday after the rehearsal or the week after the celebration.
The travel agency Express Global Business Travel (GBT) and Flygtaxi
The travel agency Express Global Business Travel (GBT) has booked travel and hotels for the honorary doctors and contact information is 08-50 25 23 01 and se.travel@amexgbt.com. Note that the e-mail is not monitored during evenings/weekends and if you call outside office hours, an on-call fee is charged.

Expense claim for honorary doctors without a Swedish social security number
To facilitate the faculty's handling of any expenses (but not for hire or purchase of clothes), we will ask you to ensure that the honorary doctor fills in certain forms etc. and leaves receipts.
In addition to this the Payroll Administration also need:

10:15-12:30 The Teaching Awardee Panels in Ljusgården Atrium, the Teacher Education Building
The teaching award recipients participate in panel discussions and Deputy Vice-Chancellor Cathrine Norberg will present diplomas to the award recipients.
11:00–11:30 Grand opening of an exhibition in the University Library Study Hall
An exhibition of the honorary doctors, new professors and award recipients is presented in the University Library in the Social Sciences Building. The general public is welcome to attend.
12:00 The Faculty luncheon in Hjortron, Universum
Separate invitations will be sent out from each faculty and the dean will decide who will be invited.
Registration is required.
13:30–ca 15:00 Mandatory rehearsal for honorary doctors before the Ceremony
After lunch, a rehearsal of the ceremony is held in Aula Nordica and the honorary doctors get to try on their doctoral ring and laurel wreath or doctoral hat.
18:00–20:00 The Vice-Chancellor’s reception in Brashörnan, Universum
Dress code: Semi-formal attire
The Vice-Chancellor invites you and one accompanying guest (partner or colleague) as well as the honorary doctor and one accompanying guest to a reception with other honorary doctors, new professors, award winners, university and faculty management. Canapes and wine are served at the reception. Drinks and snacks are served.
Registration is required.
9.00–12:00 Lectures in Samhällsvetarhuset and Humanisthuset
It is tradition at Umeå University that honorary doctors, new professors and award recipients each deliver a lecture aimed at the general public. The lecture is 20 minutes long and focuses on the field of research, the work or similar subjects of interest. The general public is welcome to attend.
16:00 Mandatory procession reception for honorary doctors in Universitetsklubben, Aula Nordica
Dress code: Formal attire (white tie)
The honorary doctors and others who are in the procession gather before the ceremony. Under the direction of the faculty marshals, they line up in the procession.
Universitetsklubben is on the 4th floor in Aula Nordica.
17.00 The Annual Celebration Ceremony for honorary doctors in Aula Nordica
Dress code: Formal attire (white tie)
At the ceremony, the honorary doctors sit on stage, together with the new professors. The honorary doctor's guests are placed together with you and your guest in the auditorium.
The award recipients are invited to the ceremony as spectators and if the award recipient attends the ceremony, it is nice if you, as the host, do as well. In that case, you will be placed together in the auditorium.
19.00 The Annual Celebration Banquet in Restaurant Lingon, Universum
Dress code: Formal attire (white tie)
The Annual Celebration Banquet starts with a glass of bubbly beverage straight after the Ceremony. Starter, main course and dessert will be served with wine or non-alcoholic options. Pre-registered speeches will be held over the course of the evening. After coffee is served, the dance floor opens up to music by Renhornen.
Registration is required.
Costs for the banquet
The Honorary and an accompanying guest as well as you and an accompanying guest are invited by the university to the banquet. The honorary doctor can invite additional guests, at the cost of SEK 1050 per adult and SEK 650 per person under 18 years.
